The Challenge

MapMatix is a full-service automations consulting company that has built its business using one primary lead-sourcing platform.

Despite its tremendous growth and high customer satisfaction rate, CEO, Matt Adams, knew that to truly sustain his business and reach revenue goals, he would have to look for leads elsewhere. And after a slow December, Matt knew he had to do it quickly.

The problem, however, was resources. Like so many other small to medium-sized businesses, having a full-time sales team is not an option and hiring freelancers to do the job of bringing in and nurturing leads was not the experience Matt wanted for his potential customers.

He wanted the first people his prospects to meet to be himself or his COO, Luana Andrade. But Luana and Matt were both spread thin and could not justify using their time to manually prospect, no matter how essential the task was.

The Solution

Under the strategic direction provided by the CMO, the team developed several strategic messaging sequences and got to work enhancing outreach capabilities for Matt and Luana. 

This initiative involved leveraging sophisticated automation tools to connect the company’s CRM, Pipedrive. They included:

  • LinkedIn 
  • Sales Navigator, 
  • Apollo.io, 
  • Calendly, 
  • Cognito,
  • and Dripify. 

The primary goal was to empower Matt and Luana to conduct outreach directly from their individual LinkedIn profiles and Gmail accounts, as well as book meetings directly to their calendars.

Effortlessly blending these tasks enables them to uphold their daily duties without any interruption, all the while expanding the business through alternative avenues.

The initial phase of the project focused on the integration of each platform to streamline the outreach process. This involved creating and implementing tailored automations that allowed Matt and Luana to engage from their own LinkedIn profiles without taking them away from their daily duties.

Recognizing the importance of data-driven decision-making, the subsequent step involved the development of a centralized dashboard. 

This dashboard was designed to aggregate key performance indicators (KPIs) such as Open Rates (ORs), Click Through Rates (CTRs), and conversions across both Matt and Luana's LinkedIn accounts. This facilitated the real-time monitoring of campaign performance, providing valuable insights into the effectiveness of their outreach strategies.

The integration of ORs, CTRs, and conversion data into a centralized dashboard not only allowed for a comprehensive overview of the outreach campaigns but also enabled the team to make data-driven modifications to messaging and content. By analyzing the performance metrics in real time, the MapMatix team could swiftly adapt and optimize their outreach strategies to maximize engagement and conversions.

Turning An Automation Into A “Setter”

In sales, a "setter" typically refers to a person who specializes in setting appointments or securing meetings with potential clients or leads. 

Setters play a crucial role in the online sales process by initiating contact and establishing a connection between the prospect and the sales team.

Although Luana and Matt would still need to be the ones to take calls with their newly generated leads, they would no longer be responsible for setting their calls.  

The automated outreach workflows would handle the lead generation, prospecting, and qualifying potential opportunities through intake forms like those created in Cognito.

By automating their setting, together, Luana and Matt saved 20 hours a week prospecting, the equivalent of a new part-time employee.
